Applying for a role

Do I need to create an account to apply? +

No. You can apply as a guest with just your name, email and phone number. We create an account for you automatically so you can track your application afterwards — there's nothing to set up first.

What file formats can I upload for my CV? +

PDF, DOC or DOCX, up to 5MB. If you have a scanned copy or a photo of your CV, convert it to one of these formats first — our screening tools can't reliably read image files.

Can I apply to more than one role? +

Yes, you can apply to as many open roles as you're a fit for. You can only submit one application per role though — if you've already applied, we'll show you a link to your existing application instead of letting you submit a duplicate.

What happens after I submit my application? +

You'll get a confirmation email immediately with your reference number. Shortly after, our screening tools review your CV against the role's requirements, and a Future-Fit recruiter takes it from there — reviewing, shortlisting and moving things forward at their own pace.

Is my application actually read by a person, or just a computer? +

A person always makes the actual decision. We use AI to help our recruiters screen CVs faster and more consistently, but it only ever ranks and suggests — it cannot reject an application on its own. The only exception is a hard requirement the job itself states up front (for example, a specific licence), which you confirm yourself when answering the job's screening questions.

The application form won't let me submit — what's wrong? +

Check that your CV is under 5MB and in an accepted format, your phone number is in the +254 format (e.g. +254712345678), and you've ticked the required consent boxes. If a role's deadline has passed, the form closes automatically and won't accept new submissions even if it's still open in your browser.

Your account and application status

How do I check the status of my application? +

Your confirmation email includes a link to a status page — just click it, no login required. It shows which stage your application is at (for example, under review, shortlisted, or interview).

I want to withdraw my application. How do I do that? +

Email your Future-Fit recruiter, or use the "object to processing" option on the data page at futurefit.co.ke/my-data (enter the email you applied with and we'll send you a link). Either way, we'll update your application and confirm once it's done.

I applied a while ago and haven't heard anything — is that normal? +

Recruiters review applications in the order that suits the role, which sometimes takes longer than you'd expect, especially for popular roles. Your status page always reflects where things actually stand, so that's the most reliable way to check rather than assuming no news is bad news.

Privacy and your data

Does Future-Fit use AI to screen candidates? +

Yes, for an initial review of how your CV matches a role's requirements. It never makes the hiring decision by itself, and a recruiter can always be asked to give your application a manual human review instead — see our Privacy Policy for the full detail on how this works and your rights around it.

How long do you keep my data? +

If you're not successful for a role, we keep your application for 12 months after that role closes, then it's automatically deleted. If you've opted in to our talent pool (so we can consider you for future roles), that extends to 24 months. Successful candidates' records follow different rules once they're employed.

How do I see, correct, or delete the data you hold about me? +

Go to futurefit.co.ke/my-data and enter the email you applied with. We'll email you a secure link where you can download everything we hold, ask us to correct it, object to how it's used, withdraw consent, or request deletion. We respond to requests within 30 days.

Is my CV data sent outside Kenya? +

Yes — the AI-assisted screening we use is provided by Anthropic, whose servers are outside Kenya. We disclose this and ask for your consent at the point you apply, per the Kenya Data Protection Act, 2019. See our Privacy Policy for the full disclosure and the safeguards in place.

For employers

How do I get access to review candidates for my role? +

Your Future-Fit recruiter sends you an invitation by email once we start recruiting for you. It includes a link to set up your password and accept a short data processing agreement — after that, you're in.

What can I see about a candidate? +

Once a candidate is shortlisted for your role, you can view their CV, cover letter and current pipeline stage. Candidates who haven't been shortlisted yet aren't visible to you — that stays with the Future-Fit team until they've been through initial screening.

How do I let Future-Fit know what I think of a shortlisted candidate? +

On each candidate in your portal, choose "Interested", "Not interested" or "Still deciding" and add a comment if you like. That feedback goes straight to your recruiter's view of the candidate.

Can I keep a role confidential — not showing my company name? +

Yes. Ask your Future-Fit recruiter to mark the role confidential with a short public description instead (for example, "a leading manufacturer in Nairobi"). Candidates still see the full role details — just not who you are until you choose to reveal it.
